Successful onboarding of skilled workers from abroad plays a crucial role for employers, as it lays the foundation for long-term and effective collaboration. The onboarding process includes getting to know, introducing and integrating the new employees into the company. International specialists who do not come from the EU in particular need more support at the beginning in order to understand work processes, communication and the social structure in a German company.

How can I organise the induction of my international specialist in the company?

Have you successfully recruited international specialists for your company? Then start with onboarding immediately after signing the contract! This is about creating a welcoming culture before the first day of work and making the start in the new working environment as smooth as possible.

A checklist for preparing for the induction period from the Competence Centre for Securing Skilled Workers (KOFA) is helpful and provides information on the following topics:
1. before the first day of work
Administrative preparations, equipping the workplace, compiling relevant company information, creating a welcome folder, appointing and preparing a permanent contact person (mentor), etc.

2. hand over welcome packon the first day of work
, welcome by management, introduction of permanent contact person, lunch with colleagues and superiors, etc.

3. first week of work
Arrangement of regular meetings with mentors, introductory measures and training, formal procedures explained, such as holiday requests, sick leave, etc.

4. after 4 to 8 weeks
Feedback meeting with superiors, further training and qualifications are discussed and planned, etc.

5. ongoing
Regular dialogue meetings with mentors have taken place, perspectives discussed

PRACTICAL TIP: WELCOME FOLDER

A welcome pack contains important information about the company, contact persons, work and social rules as well as life in the new home country. The "Make it in Germany" portal provides a welcome folder in German and English that employers can personalise themselves. Here you will find instructions on how to use the welcome pack template.

How do we find a common language?

Language is the key to integration. But what language will you speak with your international specialist in everyday working life? It is important to decide on a common language - be it English, German or another language - in advance. Sensitise your staff to differences in communication and ask about their language skills at an early stage.

Does your international skilled worker need or want to improve their German language skills? As a company, you can provide concrete help by organising language courses, giving your skilled worker time off work for these or providing financial assistance and also involving your skilled worker's family. You can find an overview of "German at work" at the Federal Office for Migration and Refugees (BAMF). The Federal Employment Agency offers a directory of language courses and other educational programmes in the field of migration via Kursnet.
